National Scouting Bureau ("NSB," "we," "our," or "us") is committed to protecting your privacy. This Privacy Policy explains how we collect, use, share, and safeguard personal information when you use our website, athlete evaluation services, recruiting support programs, and related services (collectively, the "Services").

By using our Services, you agree to the collection and use of information in accordance with this policy.

1. Information We Collect

1.1 Information You Provide Directly

When you submit forms, book evaluations, register for events, or contact us, we collect:

  • Full name, email address, and phone number
  • Athlete name, graduation year, position, and physical measurements
  • Athletic performance data (exit velocity, sprint times, throwing velocity, jump measurements, etc.)
  • Video footage submitted for evaluation purposes
  • Payment and billing information (processed securely through Stripe — we do not store raw card numbers)
  • Organization name, team affiliation, and league information
  • Preferred contact dates and scheduling preferences
  • Notes or messages you send us

1.2 Information Collected Automatically

When you visit our website, we may automatically collect:

  • IP address and approximate geographic location
  • Browser type, version, and device type
  • Pages visited and time spent on those pages
  • Referring URL and exit pages
  • Session data via cookies and similar technologies (see our Cookies Policy)

1.3 Information From Third Parties

We may receive information about you from coaches, team administrators, or other parties who submit information in connection with your participation in NSB programs.

2. How We Use Your Information

We use the information we collect to:

  • Deliver athlete evaluations, scouting reports, and recruiting support services
  • Create and maintain athlete profiles for use in the Verified Prospect Program (VPP)
  • Process payments and send booking confirmations
  • Contact you about your bookings, event details, and service updates
  • Share verified athlete data and profiles with college coaches (with appropriate consent — see Section 3)
  • Conduct Hit-a-Thon fundraisers, GameDay events, and Performance Combines
  • Send marketing communications about NSB programs (with opt-out option)
  • Improve our website, tools, and evaluation methodology
  • Comply with legal obligations and enforce our Terms & Conditions

3. How We Share Your Information

3.1 College Coaches and Recruiting Partners

A core function of NSB's Verified Prospect Program and recruiting services is sharing athlete data with college coaches. We share athlete profiles, performance data, and video footage with college coaches and recruiting decision-makers only when:

  • The athlete (or parent/guardian if the athlete is a minor) has enrolled in a service that explicitly includes coach outreach (e.g., VPP, Recruiting Kit)
  • You have been informed of this sharing as part of your service agreement

3.2 Payment Processors

We use Stripe to process payments. Your payment information is transmitted directly to Stripe under their privacy policy and PCI-DSS compliance standards. NSB does not store full card numbers or sensitive payment credentials.

3.3 Hosting and Infrastructure Providers

Our application and data are hosted on third-party cloud infrastructure providers (including Render and Neon/PostgreSQL). These providers have access to data only as necessary to operate and maintain our Services.

3.4 Service Providers

We may share information with trusted vendors who help us deliver our Services, including email delivery providers, analytics tools, and event management software. These vendors are contractually obligated to use your information only on our behalf.

3.5 Legal Requirements

We may disclose information if required by law, court order, or government authority, or if we believe disclosure is necessary to protect the rights, property, or safety of NSB, our users, or others.

3.6 Business Transfers

In the event of a merger, acquisition, or sale of NSB assets, your information may be transferred as part of that transaction. We will notify you via email or a prominent notice on our website before your information is subject to a different privacy policy.

We do not sell your personal information to third parties for their own marketing purposes.

4. COPPA — Children's Privacy

Important Notice: NSB works with youth athletes, including those under the age of 13. We comply with the Children's Online Privacy Protection Act (COPPA).

We do not knowingly collect personal information directly from children under 13 without verifiable parental consent. If your athlete is under 13:

  • A parent or legal guardian must complete all registration and consent forms on the child's behalf
  • By submitting a form on behalf of a child under 13, the parent or guardian consents to NSB collecting and using the child's athletic and personal data as described in this policy
  • Parents or guardians may review, correct, or request deletion of their child's data by contacting us (see Section 8)

If we become aware that we have inadvertently collected personal information from a child under 13 without parental consent, we will delete it promptly.

5. Data Retention

We retain your personal information for as long as necessary to:

  • Provide the Services you've requested and maintain your account
  • Fulfill ongoing recruiting support obligations (e.g., active VPP enrollment)
  • Comply with legal, tax, and accounting requirements
  • Resolve disputes and enforce our agreements

Athlete evaluation data and scouting reports are typically retained for up to 5 years after your last interaction with NSB, after which they are deleted or anonymized unless you request earlier deletion.

Payment records are retained as required by applicable law (typically 7 years).

6. Your Privacy Rights

Depending on your location, you may have the following rights regarding your personal information:

  • Access: Request a copy of the personal information we hold about you
  • Correction: Request correction of inaccurate or incomplete information
  • Deletion: Request that we delete your personal information (subject to legal retention requirements)
  • Opt-out of marketing: Unsubscribe from promotional communications at any time using the unsubscribe link in emails or by contacting us
  • Data portability: Request a copy of your data in a portable format
  • Withdraw consent: Where processing is based on consent, you may withdraw it at any time

We implement industry-standard security measures to protect your personal information, including:
