Data Deletion

National Scouting Bureau ("NSB," "we," "our," or "us") respects your right to control your personal data. This page explains how to submit a data deletion request, what data NSB holds, what will be deleted, and what may be retained for legal or compliance reasons.

1. How to Submit a Data Deletion Request

To request deletion of your personal data, send an email to NSB with the subject line "Data Deletion Request". Your request must include:

  • Your full name
  • The email address used when registering with NSB or submitting a booking
  • If requesting on behalf of a minor athlete, the athlete's full name and your relationship (parent/guardian)
  • A brief description of the data you want deleted (e.g., "all data," "my athlete profile only," "video footage only")

We will acknowledge your request within 5 business days and complete the deletion within 30 days of verification.

Verification Process

To protect account security, we will verify your identity before processing any deletion request. We may ask you to confirm details associated with your account (such as the email address on file or a booking confirmation number). We will not delete data based on unverified requests.

2. What Data NSB Collects

NSB collects and stores the following categories of personal data in connection with our evaluation, recruiting, and event services:

Athlete & Contact Information

  • Full name, email address, and phone number of parent/guardian or contact
  • Athlete name, graduation year, position, sport, and physical measurements
  • Team name, league, and school affiliation

Evaluation & Performance Data

  • Athletic performance metrics (exit velocity, sprint times, throwing velocity, jump measurements, and other FlightScope / Stalker radar data)
  • Scouting reports and evaluation notes generated by NSB staff
  • Comparison data against NSB's national and regional benchmarks
  • Data generated at Performance Combines, GameDay events, Hit-a-Thons, and individual evaluations

Video Footage

  • Video clips submitted voluntarily for evaluation purposes
  • Video recorded at NSB-hosted events (where permitted by event policies)

Payment & Transaction Records

  • Booking and transaction history (amounts, dates, service tier purchased)
  • Payment processing data is handled by Stripe — NSB does not store raw card numbers or sensitive payment credentials

Athlete Profiles (VPP)

  • Verified Prospect Program profiles shared with college coaches, including performance data, contact details, and bio information
  • Coach outreach logs associated with an athlete's profile

Website Usage Data

  • IP address, browser type, and approximate location
  • Pages visited and session data collected via cookies (see our Cookies Policy)

3. Scope of Deletion

When we process a verified deletion request, we will delete or permanently anonymize the following data associated with your account:

  1. Database records — Your athlete profile, contact information, evaluation records, and booking submissions stored in NSB's application database.
  2. Video footage — Video files you submitted or that were recorded at NSB events and linked to your profile.
  3. FlightScope / Stalker data reports — Digital performance data reports generated from radar-based measurement tools at NSB evaluations.
  4. Athlete profile pages (VPP) — Your Verified Prospect Program profile, including any pages shared with or visible to college coaches, will be removed and deactivated.
  5. Marketing communications — You will be removed from NSB email lists and will no longer receive promotional communications.

Note on coach-shared data: If your athlete profile was previously shared with college coaches, we will notify them that the profile has been withdrawn. However, we cannot guarantee the deletion of copies that coaches may have already downloaded or saved independently.

4. Data We May Retain

Even after a deletion request, NSB may be required to retain certain data for legal, financial, or compliance reasons:

Financial & Payment Records

Transaction records (amounts, dates, service type) are retained for a minimum of 7 years as required by applicable tax and accounting law. We retain only the minimum billing information required for this purpose — raw card data is never stored.

Legal Obligations

If your data is relevant to an ongoing legal dispute, regulatory inquiry, or is subject to a legal hold, we may be required to preserve it until the matter is resolved.

Fraud Prevention

We may retain a minimal record (such as your email address) on a suppression list to prevent re-registration and protect against fraud or abuse, consistent with applicable law.

Anonymized Data

Aggregate or anonymized data that cannot be used to identify you may be retained for statistical analysis and service improvement. This data contains no personal identifiers.

Summary: Once deletion is processed, your identifiable personal information is removed. Only legally required financial records and de-identified aggregate data may remain.

5. Minors & COPPA Rights

COPPA Notice: NSB works with youth athletes, including those under age 13. Parents and legal guardians have the right to request deletion of their child's personal information at any time.

Under the Children's Online Privacy Protection Act (COPPA) and applicable privacy laws, parents and guardians have the following rights regarding a minor's data:

  • Request to review any personal information collected from their child
  • Request deletion of their child's personal information from NSB's systems
  • Withdraw consent for continued collection or use of their child's data

To exercise these rights on behalf of a minor, submit a deletion request as described in Section 1 and clearly indicate that you are the parent or legal guardian of the athlete. We may ask you to confirm your relationship to the minor before processing the request.

If we discover that we have inadvertently collected personal information from a child under 13 without parental consent, we will delete it promptly upon notification or upon our own discovery.

6. Processing Timeline

Standard processing: 30 days

Here is what to expect after you submit a deletion request:

  1. Acknowledgment (within 5 business days) — We confirm receipt of your request and may ask for identity verification information.
  2. Verification (within 10 business days) — We verify your identity against our records. We will contact you if we need additional information.
  3. Deletion (within 30 days of verification) — We delete or permanently anonymize your data across our systems, including the database, video storage, and profile systems.
  4. Confirmation (within 35 days) — We send you a confirmation email once deletion is complete, describing what was removed and what (if anything) was retained and why.

In cases of complexity or high volume, we may extend the processing period by up to an additional 30 days. If this occurs, we will notify you within the original 30-day window and provide a revised completion date.
